Business To Be Conducted

The agenda of the 2024 AGM is as follows:

• Receiving the minutes of the previous AGM held on 22 June 2023.
• The Chair’s report.
• The annual financial statements of the Trust for the year ended 31 March 2024.
• Election of Board members.
• Any other motions to be considered.
• General business.

Re-election of Existing Board Members

Under rule 4.3 of the Board Trust Deed, members of the Board hold office for a term of three (3) years, with the right to put themselves up for re-election if they wish. Brian Henstock and Diane Payton will resign as of the date of the AGM and will seek re-election for a further term. Board member Fran Hartley has resigned prior to the AGM and will not seek re-election.

Nomination of New Board Members

As required by rule 4.4, we now call for nominations for membership of the Board.Each candidate must be proposed and seconded in writing and the completed nomination form (attached) must be delivered to the AGM secretary (Virginia
Taylor) 7 days before the meeting, by Thursday 13th June 2024. 

Nominations may be conveyed to Virginia by

• ordinary mail, or by
• hand delivery to Virginia Taylor at Summit Property Management, 3 Alfred Street, Blenheim, 7201.

Nominations must be received no later than the stipulated date of Thursday
13th June 2024.

The Society members attending the AGM shall decide, by majority vote, who shall fill vacancies on the Board from the nominees presented. Nominations will also be accepted from the floor at the AGM meeting.

Under rule 4.1 the Board of Trustees (“the Board”) shall consist of not less than FIVE (5) nor more than TEN (10) members. The current Board comprises SIX (6) members, including the 2 members, Brian Henstock and Diane Payton, who will be standing for re-election at this AGM.
